At Woodbury Lutheran, we value Our Community and believe in serving and welcoming groups and events into our buildings. Through this, we believe that “Life is Better Together” and want to work with your group to ensure your event will be a success. To aid in this, and to clearly communicate our policy, we ask that the contact person for your event read this contract and abide by it.
We desire to have our facilities be used for the fellowship of the Body of Christ and always to give God glory. As such, our facilities are restricted to a reservation process. It is very important to us that our facilities present a consistent message to the community. To allow our facilities to be used by groups or persons who express beliefs or engage in practices contrary to our faith would have severe negative impact on the message that we strive to promote. Therefore, no event or group using our facilities may in any way contradict our faith.
Each person or group must sign the Facility Request Form prior to reservation of our facilities and submit the security deposit if applicable. If at any time you have any questions regarding this contract or need other information, please contact us immediately.
Rental Inclusions
- Rental includes use of assigned WLC space. Persons attending events must confine themselves to the rooms assigned to their use.
- We reserve the right to rent space based on availability of space and staff.
- Wi-Fi is available.
- Please provide a diagram of your setup at least two weeks prior to your event. Anything that is moved from its original position must be returned prior to leaving.
- If custodial staff is needed to assist in the setting up of tables, chairs, as well as teardown, the fee schedule will be used. Please see the WLC Rental Fee Schedule for those costs.
Rental Period
- The hours of use will be stated on the facility use permit and must be adhered to.
- Occupancy of the facility after the end time on the permit will result in partial or complete loss of damage deposit.
General Liability Insurance
- WLC does not insure the renter or the renter’s operations or activities. By signing this permit/rental agreement, renter agrees that loss, illness, injuries, and damages to attendees, participants, or the general public as a result of the renter’s activities and/or operations are solely the responsibility of the renter, attendee, or participant. The employees of WLC cannot be held responsible for any items that are left at the facility by the renter, caterer, or contracted service.
- Renters take full responsibility for their group’s conduct and for any loss, breakage, or damage to the rooms, equipment, or other property.
- WLC reserves the right to require the renter to carry general liability insurance and name WLC as additional insured for any rental and for any reason. If insurance is required, the renter will be notified in writing. Upon notification, the renter will have 20 days from the date of the written notification to provide proof of insurance in the form of a Certificate of Insurance. Failure to provide proof of insurance will result in the cancellation of the renter’s reservation.
Rental Policies
- No alcohol may be served in church facilities. No smoking is allowed within the church buildings.
- No for-profit fundraising is allowed while using the church facilities or property.
- Groups are restricted to only those areas of the facility that the group has reserved.
- Abusive or foul language, violent behavior, and drug or alcohol use are strictly prohibited while using church facilities. Any person exhibiting such behavior will be required to leave the premises.
- Use of our facilities must occur between the hours of 7am and 9pm.
Decorations
- No decorations, banners, or signs can be taped, pinned, or affixed to the walls, ceilings, or windows.
- Failure to comply with this may result in partial or complete loss of security deposit.
Cleanup
- Anything that is moved from its original position must be returned prior to leaving.
- All tables must be cleared and wiped down with waste placed in the proper container.
- The serving of red and orange beverages is not allowed due to staining.
- The serving of frosting is not permitted due to cleanup issues with carpet. If the room being rented does not have carpet, frosting is allowed.
- A $100 fee will be assessed if the facilities are not adequately cleaned up.
